There are a lot of cases where you may find that you need a little extra help from in the form of an operator assisted conference call. Recently, a customer called and spoke with one of the representatives, and our customer knew he wanted an operator on his conference call, but he didn’t know what for. The representative asked him what he was trying to accomplish and we were able to recommend the right kind of operator service he needed.

Here is a quick run down of different operator services and what they accomplish.

Operator Outdial: The operator will call each of your parties and greet them separately and then join them to the conference line. This is great to be used for depositions, court hearings, or meetings with international participants to ensure they do not have any costs for them.

Operator Attended: An operator will join your conference call and do an introduction. They will also manage the lines and take Q&A so you can focus on the important task at hand — your conference call. This is a great option for those using our service for the first time or for calls with high profile individuals, like politicians or celebrities.

Operator Answered: This gives you everything that you get with an operator attended conference except that our live representatives will answer your participants and collect specific information from them before allowing them into the conference. This is a great option for investor relations conferences or media relations events.

There are plenty of ways that operator services can be customized to your account. If you have more questions, give us a call at 800.989.9239 to find out what kind of operator services are going to work best for you.

One of the features of our conference call service is the ability to customize your conference codes to give specific permissions to people dialing into your conference call. Here are the six different kinds of codes you can use on your conference line.

Conference Playback - This code type allows only for a participant to call in and listen to a pre-recorded conference, not the live event.

Moderator – This code will give the user complete control over the conference, including all star commands.

Participant – Can Hold – When a participant dials in, they will be able to wait for five minutes before a moderator arrives before being disconnected from the system.

Participant – Can Not Hold - A participant will not be able to connect to the conference line unless the moderator has arrived. Otherwise, they will be told to dial back later.

Participant – Muted - The participants line will automatically be muted when they join the conference call and cannot be unmuted during the event.

Participant – Can Unmute – The participant will be muted when they join the line, but will be able to turn off the mute function at any point during the conference.

Speaker – Speakers will be placed into pre-conference and will be unmuted during lecture mode. They will not be able to control the conference in any way.

One your next conference call, you can use customized conference codes to make your call go smoothly. For more information on how to navigate through your customer account, visit our YouTube page to see more training videos.

On your conference call, you can take questions one at a time by using the live Q&A feature on your account. In order to take questions, simply make sure that the conference call is in lecture mode. Lecture mode is enabled by clicking the “Lecture Mode” icon from the live call screen or by pressing *5 on your telephone keypad.

Once lecture mode is enabled on the conference call, instruct your participants to press *1 if they have a question. Moderators can open individual lines for questions in two different ways:

1.) Use the # key from their telephone keypad to go through the questions.

2.) Use the live call screen and click on “Take First/Next Question”.

Participants can remove themselves from the question list at any time by pressing # on their keypad. You can see the video instructions to Q&A at our YouTube channel or call us for any questions you might have about hosting Q&A sessions on your conference call.

She was very pleased to know that everything is available to her from her online account.

Once you have recorded a conference, you have the option to access it via dial in playback or by downloading it straight to your computer.

For Dial in Playback:
-Call customer service to make sure it is active your conference
-Dial into the same access number for the conference
-When it asks for your conference code, put a * in front of the code that you used to access the conference
-By default, the last 5 recordings will be accessible to your participants by date. They may choose the one they can listen to.
-You may control which recordings participants have access to via our customer admin site.

To Download a Recording:
-Log into the customer admin site.
-Put your cursor on “Conference Manager” and click on “View Conference List”.
-Select the conference that you want to download a recording from by clicking on the name of the conference.
-Scroll down until you see the Conference History
-Find the recording you wish to download by looking at the date of the conference.
-Right click on the “Recording” link, select “Save Target As” and start downloading it to your computer.
